1. Data Controller

We process personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data (the "GDPR") and Act No. 110/2019 Coll., on the Processing of Personal Data.

2. What Personal Data We Process

2.1 Data from the Booking Form and Contract

first name and surname,
e-mail address,
phone number,
delivery address (only for courier delivery),
wedding date and venue,
selected package and other order details.

2.2 Payment Data

Payments are processed through a payment gateway. Your card details are processed exclusively by the payment gateway provider — we have no access to your card number. In connection with the card authorization (a security hold in case of loss of or damage to the equipment), we process only information about the execution and status of the authorization.

2.3 Audiovisual Recordings

As part of providing the service, we process video recordings captured by the rented cameras during your wedding. These recordings may contain the likenesses, voices, and other personal data of you and your guests. We process the recordings solely for the purpose of their technical processing and delivery to you (and editing, if you have ordered it). As the customer, you are responsible for informing your guests that recordings are being made.

2.4 Communication Data

The content of e-mail or telephone communication you have with us.

2.5 Data Collected Automatically When You Visit Our Website

IP address, browser type, and device,
data about your behavior on the website (cookies and similar technologies — see Section 8).

The provision of data marked as necessary for the performance of a contract is required to conclude and perform the contract; without it, we cannot provide the service to you.

4. Data Retention Periods

Booking and contract data: for the duration of the contractual relationship and for 3 years after its termination (the limitation period for potential claims).
Audiovisual recordings (RAW footage and outputs): we retain recordings for the time necessary for their delivery and for no longer than [TO BE COMPLETED, e.g. 30 days / 6 months] after they are made available for download, after which they are permanently deleted. Recordings published with your consent are retained until the consent is withdrawn.
Accounting and tax documents: 10 years from the end of the relevant tax period, as required by the VAT Act.
Communication and inquiries: no longer than 2 years from the last communication.
Cookies: for the periods specified in the cookie settings (Section 8).

5. Who Has Access to Your Data (Recipients and Processors)

We process your data ourselves and share it only with the following categories of recipients, to the extent necessary for the given purpose:

Frame.io (Adobe Inc.) — platform for delivering video recordings for download,
the payment gateway provider — payment processing and card authorization,
shipping and courier companies — delivery and collection of equipment,
hosting, e-mail, and cloud service providers — website operation and communication,
the electronic contract-signing tool provider,
external accounting, tax, and legal advisors,
public authorities — only where required by law.

We have data processing agreements in place with all our processors, ensuring an adequate level of protection.

6. Transfers of Data Outside the EU/EEA

Some of our processors (in particular Frame.io / Adobe) may process data on servers outside the European Economic Area, primarily in the USA. In such cases, the transfer is safeguarded by appropriate measures under the GDPR — in particular, an adequacy decision of the European Commission (the EU–US Data Privacy Framework) or standard contractual clauses.

7. Data Security

We have implemented appropriate technical and organizational measures to protect your data against unauthorized access, loss, or misuse — in particular, encrypted data transmission (HTTPS), access controls for recordings, and deletion of data after the retention period expires.

8. Cookies

Our website uses cookies and similar technologies:

Necessary (technical) cookies — ensure the basic functioning of the website (e.g., the booking form). We process them on the basis of legitimate interest, and they cannot be disabled.
Analytics cookies — help us understand how you use the website. We store them only with your consent.
Marketing cookies — are used for ad targeting. We store them only with your consent.

You can grant, change, or withdraw your cookie consent at any time via the "Cookie Settings" button in the website footer, or in your browser settings.

9. Your Rights

In connection with the processing of your personal data, you have the following rights:

the right of access — to obtain confirmation of whether and what data we process about you, and a copy of it,
the right to rectification — of inaccurate or incomplete data,
the right to erasure ("the right to be forgotten") — where the data is no longer needed, you have withdrawn your consent, or the processing is unlawful,
the right to restriction of processing,
the right to data portability — for data processed on the basis of a contract or consent,
the right to object — to processing based on legitimate interest, including direct marketing,
the right to withdraw consent — at any time, without affecting the lawfulness of processing carried out before the withdrawal,
the right not to be subject to automated decision-making — which we do not carry out.

If you believe we are processing your data in violation of the law, you have the right to lodge a complaint with the supervisory authority:

10. Personal Data of Third Parties (Wedding Guests)

The rented cameras are operated by your guests during the wedding, and the recordings capture third parties. With regard to the making of recordings at the wedding, you as the customer act as the party making the recording; we recommend informing your guests about the filming in advance. We process the recordings solely as a technical service for you — we do not publish them or use them for our own purposes without express consent.

11. Changes to This Privacy Policy

We may update this policy from time to time, in particular in response to changes in legislation or our services. The current version is always available at www.svatebnikamery.cz/ochrana-osobnich-udaju. We will inform you of any material changes.
